Uncertainty about the correct revision
A drawing in an email or on a file server may be outdated. Purchasing and production need to know which documentation has been approved before they act.

Product data across departments
The right product information – even for those who do not work in CAD.
Make drawings and documentation available to purchasing, production, quality, project management, service and technical management. Vault Office provides access to the shared data in Vault without the need for CAD software.

When information stops at engineering
The product data exists, but the departments that need it often receive copies, incomplete answers or information that arrives too late.
A drawing in an email or on a file server may be outdated. Purchasing and production need to know which documentation has been approved before they act.
Design engineers are interrupted to find drawings and send documents. Other departments have to wait for information they could retrieve themselves.
Documents are saved locally, forwarded and lose their connection to the original. A change in Vault does not necessarily reach every copy.
An employee who only needs to find and read documentation does not need a CAD tool. Licence selection should reflect the role, not the design engineers' toolkit.
Quality and service teams spend time establishing which version was used. Shared history and revision information provide a better basis for follow-up.
Purchasing, project management and technical management each receive a different status update. This makes it harder to identify gaps and make decisions based on the same information.
Part of the Vault environment
Autodesk Vault Office is a client for employees outside the CAD environment who need access to files and documents in Vault. They can search for product information, view document status and use available previews without having a CAD application installed.
Vault Office can also be used to manage non-CAD documents, such as specifications, reports and Office files. With the right setup, more departments gain access to a single controlled source rather than maintaining their own document repositories.
Vault Office does not replace Vault Professional or the CAD tool. Features, viewing formats and permissions depend on the Vault edition, version and setup. We clarify client and licensing requirements for each user group.
Same data. Different needs.
For departments that use technical information to order, build, follow up and maintain – without designing the product themselves.
Find drawings, specifications and related documents before placing an order. Shared documentation makes it easier to clarify requirements with engineering and suppliers.
A better basis for accurate orders.
Retrieve current production documentation and check its revision and status. Access is configured to make it clear what has been released for use.
Less risk of building to the wrong drawing.
Find inspection documentation, reports and document history in one place. Track revisions and link non-CAD documents to the agreed product structure.
Better traceability for non-conformances and documentation requirements.
Get visibility into document status and available project documentation without requesting a new document package every time. Coordinate handovers using a shared information base.
Fewer rounds of clarification between departments.
Find drawings, manuals and technical documentation for troubleshooting and maintenance. Historical revisions can provide important context when following up on previous deliveries.
Faster access to relevant service documentation.
Access product information and document status without CAD software. Use the same data as engineering when assessing changes and deliveries.
A more reliable basis for technical decisions.
Access that creates value
Search and preview make documentation accessible without the designer having to open the CAD file and send a copy.
More self-service and fewer interruptions for engineering.
Departments use the same source, with known revisions and status. Access and working practices are tailored to those who need the information.
Fewer misunderstandings during handover.
Vault Office can reduce licence costs where employees have CAD licences solely to access documentation. We assess actual tasks and licence terms before recommending changes.
Avoid paying for CAD functionality the user does not need.
Shared metadata and document structures make information easier to find and interpret. Non-CAD documents can be managed in the same controlled environment.
Less duplicate storage and fewer parallel archives.
Revision information and document history provide context across versions. Roles and permissions control what each user can see and do.
Information is shared without giving everyone editing access.
When users can find documentation themselves, fewer tasks are left waiting. Controlled data can also feed into downstream publishing and system integrations.
A shorter path from question to reliable answer.
Engineering data across the business
Vault Professional controls product data. Vault Office makes it available to the colleagues who need to use it – while integrations can pass selected data on to ERP and production systems.
Engineering develops models, drawings and product documentation.
Files are structured, revisions controlled and documentation released.
Other departments find and use documents according to their permissions.
Items, bills of materials and document references are linked to business processes.
Controlled information is used for delivery, follow-up and maintenance.
Vault Office provides access to Vault; it is not a separate stage that data must pass through on its way to ERP. ERP and PLM connections are established separately; data ownership, publishing and update procedures are defined as part of the solution.

Data access is one part of the whole. We connect it to document control, workflows and the systems that use product information downstream.
